Vridesk is a CRM for agencies. It keeps your leads, follow-ups, email campaigns, replies, clients, projects and invoices in one workspace, and gives each of your clients a portal where they can see how their work is going.
Click 'Start 7 Days Free Trial' on the homepage or open the Sign up page. Enter your name, email and a password, then the code we email you. Your workspace is created straight away.
The 7-day free trial gives you the whole CRM: leads, deals, follow-ups, campaigns, inbox, automations, clients, projects, invoices, reports, the client portal and team management. Nothing is locked during the trial.
No. You only choose a plan and pay when you decide to continue after the trial.
The workspace is locked until you choose a plan. Your data is not deleted - pick a plan from the Subscription page and you are back where you left off.
A workspace is your agency's own space on Vridesk. It holds your team, leads, clients, projects, invoices and settings, and it is kept separate from every other agency's workspace.
Yes. A new workspace is named after you (for example "Rahul's Workspace"). The owner can rename it in Workspace settings. This name is what your clients see in the portal and on invoices.
Yes. Vridesk runs in the browser and the screens adapt to a phone or tablet. There is no separate mobile app.
Add or import your leads on the Leads page, connect your mailbox in Settings so you can send campaigns and receive replies, then add your team from the Team page.
Open the menu with your name and choose Settings. In the General tab you can change your name and photo.
Open Settings, go to the Account tab and use Change password. You need your current password. Changing it signs you out of your other devices.
Use 'Forgot password' on the login page. We email you a link to choose a new password. Team members can also ask their workspace owner.
Open Settings and go to the Account tab. It lists the devices you are signed in on, and you can log out of all of them at once.
App Lock is an optional PIN (Settings, Security tab). When it is on, Vridesk asks for the PIN after you have been idle for the time you choose, or when you press Ctrl + L.
Open Settings, go to the Account tab and scroll to Delete account. You type your email to confirm. If you are the workspace owner, this deletes the whole workspace and all its data, and it cannot be undone.
Yes. In Settings you can switch between light and dark, and pick an accent colour.
There are three plans: Starter (up to 5 team members), Growth (up to 25) and Scale (unlimited). Every plan includes the whole CRM - plans differ only by how many team members you can add. The owner does not count as a team member.
The workspace owner opens the Subscription page inside Vridesk and picks a plan. You can choose monthly or yearly billing there.
Yearly billing has a lower price per month than monthly billing. Both give you the same features. The Pricing page shows the current prices.
Open Settings and go to the Billing tab. It shows your plan, its status, when it started and until when you have access.

The workspace is locked until the plan is renewed. Your data stays as it is, and your clients can still open their portal, but your team cannot use the CRM until you renew.
Open Leads and click Add Lead. A lead needs a name and either an email or a phone number. You can also set the company, status, source, expected value, owner, next follow-up date and notes.
Yes. Click Import on the Leads page and choose a CSV file. You see a preview showing which rows are ready and which will be skipped, and why, before anything is saved. Download the template to see the columns. From Excel, use Save As and choose CSV.
A row is skipped when the name is missing, when it has neither an email nor a phone, when a value such as the status or date is not recognised, or when a lead with that email already exists in your workspace. The result lists each skipped row with the reason.
New, Contacted, Qualified, Proposal Sent, Won and Lost. The filter at the top of the Leads page shows how many leads are in each.
Deals shows the same leads as cards under their status. Drag a card to another column to change its status, or use 'Move to' on the card. Each column shows how many leads it holds and their total value.
Contacts is one list of everyone you deal with: the people on your leads and your clients' contact persons. You can search it and download it as a CSV.
Any active member of your workspace. Imported leads are assigned to the person who imported them.
Each lead can have a next follow-up date. The Follow-ups page sorts open leads into Overdue, Today and Upcoming. Leads marked Won or Lost do not appear.
Click Done on the lead. Choose how you followed up (call, email, WhatsApp, meeting or other), write what happened, update the lead's status if it changed, and set the next follow-up date if one is needed.
The History tab on the Follow-ups page lists every follow-up you logged, with when it was done, what happened, and whether it was on time or late.
It moves the follow-up to another date without adding anything to the history.
The reply appears in your Inbox, and if the lead has no follow-up due yet, its follow-up is set to today so it shows up in your Today list.
The workspace owner opens Settings in the sidebar and fills in the mailbox: your email address, its password, and your provider's outgoing (SMTP) and incoming (IMAP) servers. Presets fill in the servers for common providers. Then use 'Test the saved mailbox' to check it.
It is stored encrypted and is never shown again or sent back to your browser. With Gmail or Google Workspace, use an app password instead of your normal password.
Open Campaigns and click New Campaign. Give it a name, a subject and the email text, and tick which lead statuses should receive it. It is saved as a draft. Open the campaign, send a test to yourself, then press Send campaign.
Write {{name}} and {{company}} in the subject or the email. They are replaced with each lead's own name and company.
Leads in the statuses you chose that have an email address. Leads without an email are skipped. A lead only ever gets one copy of the same campaign.
Yes. The campaign page lists every recipient as Sent, Failed or Pending, with the time it was sent and the error if it failed.
Keep the page open while a campaign is sending. If it is interrupted, open the campaign and press Resume sending - leads who already received it are not emailed again.
Emails that arrive in your connected mailbox from an address that matches one of your leads. Other mail stays in your mailbox and is not copied into Vridesk.
When you open the Inbox, every two minutes while it stays open, and whenever you press Check now.
No. It records whether each email was sent or failed, and it shows replies. It does not track opens or link clicks.
A rule of the form 'when this happens, do that'. For example: when a new lead is added, schedule a follow-up two days later.
A new lead is added, a lead replies by email, a lead is marked as Won, a lead's follow-up is overdue, or an invoice is overdue.
Schedule a follow-up, send an email to the lead or client from your connected mailbox, or email you (the workspace owner) about it. Which of these are offered depends on the trigger.
No. Each rule runs once per item - for example one reminder per overdue invoice. If you move a follow-up to a new date and miss it again, the overdue rule runs again for the new date.
Only 'schedule a follow-up' rules run on an import. Importing a file never sends emails.
The Automations page has a Recent activity list showing each run, what it was about, and whether it was done or failed.
Use the switch next to it on the Automations page. Deleting a rule also deletes its activity log.
Open Clients and click Add Client. Enter the client or company name and an email. You can also add a contact person, phone, notes and a portal password.
Open Projects and click Add Project. Choose the client, give the project a name, and optionally a status, start date, due date and description. The client sees the description.
Open a project and click Add Task. Each task has a title, a status (Pending, In Progress or Done) and an optional due date. You can change a task's status straight from the list.
Progress is the number of tasks marked Done out of all tasks in the project.
A client that has invoices cannot be deleted, so your billing records are not lost. Delete the invoices first, or set the client to Inactive instead.
Edit the client and set a portal password. Share the portal address, their email and that password with them yourself - Vridesk does not send it for you.
Their own projects with status, dates and progress, every task with its status, and their invoices. They cannot change anything, and they never see another client's work.
Edit the client and set a new portal password. This also signs them out of any device they were signed in on.
Set the client to Inactive. Inactive clients cannot sign in to the portal.
No. An invoice appears in the portal only after you change it from Draft to Sent.
Open Invoices and click New Invoice. Choose the client, the invoice date and an optional due date, add items with a quantity and rate, and set a tax percentage if you charge tax. The totals are worked out for you.
Automatically, in order: INV-0001, INV-0002 and so on. The numbering is separate for each workspace.
Draft is not yet shown to the client. Sent means it is issued and unpaid. An unpaid invoice past its due date is shown as Overdue. Paid records the date you marked it paid. Cancelled keeps the record without counting it.
The owner opens Settings in the sidebar and fills in Invoice details (address, GSTIN, bank or UPI details). They are printed under your workspace name in the From block.
Yes. Open the invoice and click 'Print / Save as PDF', then choose 'Save as PDF' in your browser's print window.
No. Vridesk records your invoices and whether they are paid. You collect the payment yourself and then mark the invoice as Paid.
The workspace owner opens Team and clicks Add Member, then enters the member's name, email and a password. No invite email is sent - share the sign-in details with them yourself.
By default, use the whole CRM of your workspace: leads, deals, follow-ups, campaigns, inbox, automations, clients, projects, invoices and reports. The owner can create roles (Permissions, in the Team menu) that set each area to no access, view only or full access, and give a role to a member. Only the owner can manage the team, roles, the connected mailbox, the invoice details and the plan.
It depends on your plan: 5 on Starter, 25 on Growth and unlimited on Scale. The owner does not use up a seat. The Team page shows how many seats you have used.
On the Team page, Suspend stops a member from signing in and signs them out everywhere. Remove deletes their account; leads they owned stay in the CRM, unassigned.
No. Tasks is each person's own private to-do list. Client work that the team shares belongs in Projects.
Yes. Every lead, client, project, invoice and campaign belongs to one workspace, and no other agency can open it.
Passwords are hashed with argon2id, a modern algorithm designed to resist guessing attacks. Plain-text passwords are never stored. The password of a mailbox you connect is stored encrypted.
Each device you sign in on has its own session. You can see them in Settings and end them all at once. Changing your password ends your other sessions.
The members of your workspace. Each of your clients can see only their own projects, tasks and invoices in the portal.
